Classification: Full-time (forty hours per week)
Location: Otis House Museum, Boston, Mass.
Description: This newly created position will be a key player in our dynamic fundraising team. You will be responsible for providing high-level administrative support that ensures the smooth operation of Historic New England’s fundraising programs. Reporting directly to the Vice President for Advancement, this employee provides superior internal and external customer service through efficient and effective support of daily advancement office activities. Also provides support for development activities in the Office of the President. Provides exceptional customer service to high-level donors and funders.
The salary range for this position is $45,000 to $50,000, commensurate with qualifications and experience.
Responsibilities: Provide administrative support to the Vice President for Advancement, including but not limited to monitoring program progress against goals, tracking income and expenses against budget, coordinating development team schedules and meetings, maintaining electronic records and paper files, monitoring supply inventories, producing reports, and taking meeting minutes. Coordinate development team requests for support and approvals from the marketing team. Provide administrative support to the President and coordinate President’s fundraising activities. Schedule donor and prospect meetings and prepare materials. Assist with preparations for governance-related meetings and activities. Assist high-level donors and funders in various aspects of contact with Historic New England, ensuring excellent customer service and following up to ensure timely and satisfactory fulfillment. Draft various written materials such as letters, other constituent communications, and reports.
Qualifications: Bachelor’s degree and at least four years of job-related experience supporting senior management in a busy office environment. Ability to balance and manage competing priorities with flexibility and good humor. Exceptional organizational skills and ability to thrive in a fast-paced setting while maintaining precise attention to formats, procedures, details, and quality. Strong writing skills, interpersonal communication, tact, and diplomacy. Excellent internal teamwork across the organization and exemplary external customer service skills. Excellent external service, including assisting and directing services to high-level donors. Ability to maintain a high level of confidentiality. Fully competent computer skills, including advanced working knowledge of MS Office Suite, databases, and internet research.
