Accounts Payable/Receivable Specialist

Classification: Full-time (forty hours per week)

Location: Haverhill Facility in Haverhill, Mass.

Historic New England is looking for a dynamic, detailed-oriented accounts payable/receivable specialist to join our business services team.

Responsibilities: The accounts payable/receivable specialist will process and prepare vouchers, invoices, and accounts payable checks. Ensures accuracy of payments and appropriate authorization has been acquired. Enters approved and coded invoices and reimbursements into accounting system. Processes authorized payments with corporate credit card and organizes and codes related invoices. Compiles, sorts, and routes documents, including but not limited to invoices, purchase orders, vendor W-9 forms, certificates of insurance, and checks, to appropriate team members. Reviews and processes travel and expense reports and petty-cash reports from sites. Codes all utility invoices. Answers vendor and employee questions regarding the payment and processing of invoices and travel and expense reports. Generates monthly invoices for tenants and resident overseers. Inputs and applies monthly rent payments to tenant accounts. Monitors tenant receivables and ensures that tenant accounts are current. Works with director of finance on collection efforts if required. Maintains accurate and accessible system of filing for all payable and receivable source documents. Assists with generating 1099 forms at year end.

Qualifications: The candidate will hold an associate’s degree in accounting, business, or finance plus two years of job-related experience. A bachelor’s degree in accounting, business, or finance is preferred. Requires the ability to work independently and as part of a team. Must be well organized, motivated, detail-oriented, and proficient in the use of spreadsheets. Demonstrates initiative in problem solving, and ability to communicate effectively with internal staff and meet various deadlines. Ability to multi-task and work both independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness. Proficiency in Microsoft Office and accounting software required.
